Built around the weekly approval cycle

Staff submit hours a week at a time. Each person's timesheet goes to their mapped approver, who approves or rejects it; approved weeks lock so the record cannot change quietly. When something genuinely needs fixing after approval, an admin reopens that week and it goes through review again — with the change recorded.

Reports your payroll and finance teams can use

Month-end is where most timesheet systems fail. Aarveta ships 13 reports, including payroll-ready hours, overtime summary, monthly approved hours, billable vs non-billable, project utilisation, pending approvals and rejected entries. Every report exports to CSV or Excel, so whoever runs payroll can keep their existing process.

Data separation and accountability

Each company's data is fully isolated from other companies using the platform — your projects, employees and hours are never mixed with anyone else's. Sensitive admin actions are written to an audit log with the person who performed them and the reason they gave, which matters when a client or auditor asks how a number was produced.

What a week looks like in practice

On Monday morning each person opens their week and fills in hours against the projects they worked on, choosing the job type for each block of work. They submit the week. Their mapped approver — the supervisor who actually saw the work — opens a single screen showing what is waiting, approves most of it, and sends back anything that looks wrong with a reason. By Tuesday evening the week is closed and the numbers stop moving. Finance pulls the payroll-ready export, and project managers check utilisation without asking anyone for a file.

Multiple sites and several supervisors

Teams here often run several sites or client projects at once, each with a different person responsible. Because approvers are mapped per employee rather than per company, each supervisor reviews only their own people, and an admin still sees everything centrally. Job types keep client-billable work separate from internal work, so a project manager can see where the month actually went instead of reconstructing it later.
